OPERATIONS MANAGER

GENERAL JOB DESCRIPTION
These responsibilities will include inter-alias the following.

• Manage the day to day running of the branch operations departments. Covering all the freight forwarding and customs clearing functions
• Assist in the formulation and implementation of departmental strategies to enhance the overall operational efficiency of the company
• Manage the annual Licensing process of the company
• Attending to SFAAZ and ZIMRA meetings
• Manage the operations, finance and administration link for optimum revenue collection
• Ability to delegate work promoting team work
• Assist in the smooth maintenance of operations and relations involving foreign agents
• Contributing to business growth through the leveraging of your current local and/or foreign networks
• Actively participate in the company’s marketing efforts
• Manage, lead and motivate Operations staff to deliver exceptional performance
• Initiating major corporate business ideas and projects that stimulate growth
• Any other Operations Management duties as assigned from time to time

• Mature individual of sober habits with a hands on management style
• Ability to manage, lead and motivate staff
• Versatile person with the ability to embrace, initiate, and manage transformation
• Proven ability to handle major corporate business and projects
• A goal getter with a very high appetite for efficiency, personal as well as business growth
• High level of integrity and professional conduct is a must

Responsibilities/Specific Duties
• Ensures compliance and consistency with the organization’s policies and procedures
• Records and accounts for daily transactions, ensuring accuracy and completeness of required files and supporting documentation serving as evidence of transactions.
• Ensures sound cash management of local bank accounts and maintains petty cash fund.
• Processes cash disbursements in accordance with financial management policies and established approval levels.
• Processes payroll, remits tax and other government contributions and reports to local agencies.

• Responsible for full accounts payable function from procurement through payment of invoices.
• Process employee expense reimbursements.
• Ensures timely payment to all organization’s payees and maintains sufficient and complete payee files.
• Prepares monthly financial reports for the organization and internal management reports for the Director containing budget to actual expenditure information.
• Performs month-end closing and year-end duties such as reconciliations, VAT reimbursements, inventory lists, etc.
• Responsible for procurement activities in accordance with the organization’s procurement policy.
• Prepares and submits reports and filings in compliance with local government laws.
Office Operations/Administration
• Responsible for all matters related to the operations and administration of the office.
• Ensures registration requirements are kept current at all times and files statutory returns and renewals.
• Manages office lease to make sure it is current and amendments are processed as required.
• Oversees administration of human resources, including but not limited to, maintaining personnel files, assisting with recruitments and orientation procedures, purchasing and maintaining adequate health and other insurance policies, etc.
• Manages local information technology contract ensuring infrastructure needs of the office are met, including properly functioning IT equipment, routine maintenance, security over IT (anti-virus software and regular backups).
• Maintains office files.
Qualifications
• Bachelor’s Degree in Accounting or Equivalent
• Minimum 5years post qualification experience preferably in service industry, Customs & Freight forwarding or Logistics
• Professional qualification an added advantage
