The Hidden Lessons Every First-Time Importer Must Learn

Many first-time importers lose money before their cargo even arrives.

Ahmed’s story is not unusual.
It happens to first-time importers every day.

Most beginners focus only on the freight rate — the price to move cargo from the port of loading to the port of discharge.
But freight is only one part of the real cost.
Other charges add up quickly:
• Terminal Handling Charges (THC)
• Cargo dues
• Shipping line fees
• Customs duty
• VAT
• Transport to your warehouse

What looked like cheap freight suddenly becomes an expensive shipment.
If you're importing for the first time, here are six things to check before paying your supplier or booking cargo.

1️⃣ Know Your HS Codes
Customs does not recognize product names.
They recognize HS tariff numbers.
Your HS Code determines:
• Duty payable
• VAT payable
• Possible inspections
• Clearance speed
• Risk of penalties
A wrong HS code can lead to:
• Overpayment
• Delays
• Cargo examinations
• Demurrage costs

2️⃣ Calculate Duty & VAT Before You Ship
Many importers only discover the taxes after the cargo arrives.
Before shipping, always calculate:

3️⃣ Understand What Your Quote Actually Includes
A freight quote often covers only the transport leg.

Cheap freight with expensive local charges is not cheap freight.

4️⃣ Check Port, Demurrage & Detention Risk
Ports charge by time — not sympathy.
If documents are wrong or payments are delayed, costs start building:
• Storage – terminal charges after free days
• Demurrage – container sitting too long in port
• Detention – container returned late after delivery
This is where many importers lose thousands without realizing it.

5️⃣ Don’t Forget Final Delivery
Your cost does not end when the ship arrives.
Also plan for:
• Transport to your warehouse
• Off-loading costs
• Inland insurance
Your true landed cost ends at your warehouse door.

6️⃣ Build Your Landed Cost Per Unit
Ask yourself:
“What is my cost per item when it reaches my warehouse?”
Only then can you:
• Price correctly
• Negotiate better
• Protect your profit margin

Part 3: - The Real Meaning of a Freight Quote

Ahmed felt relieved when the email arrived.
“Cheap Quote – Best Price Guaranteed.”

His first shipment from China was ready. He had compared several forwarders, and this one was the cheapest:
Total: $1,250
Without hesitation, he accepted.

Two weeks later, his container arrived in South Africa. That’s when the real cost began to unfold.

1️. The Base Rate
The base rate covered the ocean freight - ship's space and fuel.
That part was clear.

2️. The Surcharges
Then came fuel adjustments, congestion fees, peak season charges, and carrier add-ons.

These were not highlighted in the original “cheap” quote.
3️. Local Charges
Next, the local agent sent invoices for documentation, port services, admin, and release fees.
Shipping covered the ocean transport only - not the landside costs.

4️. Terminal Handling
Handling, lifting, moving, storing, and loading the container at the terminal added more cost.

5️. Hidden Exposure
A short delay triggered storage, demurrage, and truck waiting fees.

The quote wasn’t wrong. – It was incomplete.

That evening, Ahmed realized something important:
He hadn’t chosen the cheapest shipment. He had chosen the cheapest number on a screen.

And there’s a difference.
A proper freight quote should answer one simple question:
👉 What exactly is included - and what isn’t?

Before booking freight, every importer should ask:

The Lie of Cheap Seafreight

Ahmed imports kitchen utensils into Johannesburg. When he sourced a FAK (Freight All Kinds) freight rate for a 20'GP container from Qingdao to Crown Mines, South Africa, at a freight quote of R38,000, it certainly looked like a bargain.

But freight is not the business cost. It is only the transport cost.

Before shipment, documents and HS codes were reviewed. Customs does not work with product names; it works with tariff numbers. HS codes decide duty, VAT, inspections, and clearance risk.
The supplier had used the wrong classification for mixed metal and plastic items, exposing the shipment to penalties and delays.

After arrival, reality appeared. Port handling reached R14,500. Duty and VAT came to R62,000. Transport to Crown Mines added R18,000, with demurrage risk if clearance slowed.

Ahmed’s final numbers told the story:
R38,000 freight.
R14,500 port costs.
R62,000 duty and VAT.
R18,000 for transport.
Total landed cost: R132,500.

The lesson is simple:
Cheap freight doesn’t mean cheap import.

Real profit is protected before shipping — by checking HS codes, taxes, routing, port exposure, and timing.

Freight moves cargo.
Landed cost protects cash.
