Your mover can be ready, your boxes can be packed, and your building can still turn the truck away at the curb. ๐Ÿก

If you're moving into or out of an apartment, a condo, or anything with an HOA, the building has its own rules, and they have nothing to do with your mover.

Handle these before you book a date: ๐Ÿ“†

The certificate of insurance. This is the one that stops moves cold. Most managed buildings require a COI from your mover, listing specific coverage amounts, naming the building as additional insured.

Get the requirements in writing from the property manager and send them to your mover, two weeks out, not two days. A crew standing in the lobby without one is not getting past the desk.

The elevator has a calendar. Buildings book the freight elevator in blocks, and popular Saturdays go early. You need it reserved at both ends if both ends are buildings. That's two managers, two calendars, one day.

The move-in window may pick your date for you. Plenty of buildings allow moves weekdays only, 9 to 5, no weekends, no holidays. Ask before you choose a moving day, not after.

Ask what the fees are and whether the deposit comes back. Move-in fees and damage deposits are normal. Being surprised by them isn't.

Where does a 26-foot truck actually park?

Low garage clearance, a tight turn, a fire lane, permit-only street parking.

When a full-size truck can't reach the building, the move goes to a shuttle, a smaller vehicle running back and forth, and that's a real line item on a real invoice. Long carries, stair flights, and elevator carries are billable too.

Say all of it at the walkthrough. Every one of these is cheap to plan for and expensive to discover.

None of this is anybody being difficult. It's just a second set of rules stacked on top of your move, and the people who have a smooth day are the ones who found out about them in advance.

There are three kinds of moving estimates. Only one of them is a price.

Most people don't find that out until the truck is unloaded, so here it is now.

Non-binding. This is a guess, made in good faith, and the final number is whatever the shipment actually weighs.

Here's the protection that matters: at delivery, your mover can only require you to pay 110% of the estimate. Anything above that gets billed later, at least 30 days later. So a non-binding estimate isn't a price. It's a price with a ceiling on what you owe that day.

Binding. The number on the page is the number you pay, heavier or lighter. If it's binding, the document has to say so on its face.

Binding not-to-exceed. You pay the estimate or the actual cost, whichever is lower. It's the friendliest of the three. Ask whether it's on the table.

Two more things worth knowing:

Every estimate has to be in writing, and the paper has to say which kind it is. If you can't tell from looking at it, that's your answer about the company.

If you live within 50 miles of the mover's place of business, a physical survey isn't optional, it's required.They can only skip it if you sign a written waiver before anything gets loaded.

Anyone quoting your house sight-unseen inside that radius is skipping a step that exists to protect you.

And the thing that breaks a good estimate: adding to the pile. The estimate covers what you showed them. The shed you forgot to open, the boxes that came back from your mom's, those are new.

Show us everything at the walkthrough, including the garage and the attic, and the number holds.

We give written estimates, we walk the whole house, and we'd rather have the awkward conversation in your kitchen than in your driveway.

The hardest move isn't the long-distance one. It's a four-bedroom house into a two-bedroom apartment. ๐Ÿšš

Usually it's a parent. Sometimes it's after a loss. And the reason it's hard has nothing to do with the truck, it's that somebody has to decide what happens to forty years of a household, and nobody in the family is ready to do that on a Tuesday.

So don't. Here's what works better:

Four piles, not three. Goes with them. Goes to family. Goes to sell or donate. And undecided. That fourth pile is what makes the day possible. It goes to storage, and nobody has to be brave about it on schedule.

Everything gets inventoried before it goes in. So "where's Mom's cedar chest" has an answer without anybody opening a single box.

Measure the new place first. Doorways, the elevator, the turn at the top of the stairs. The sectional that fit the family room does not fit the apartment, and that's a much better thing to learn before it's on the truck.

Photograph the undecided pile. When siblings are in three states, people decide better from a photo than from memory, and from memory is where the arguments start.

Budget two weekends, not one afternoon. Everyone underestimates this move. Every time.

The three things that don't go on the truck like everything else

Some things in your house need a different plan than "wrap it and load it." ๐Ÿ“ฆ

The piano: ๐ŸŽน
An upright runs 400 to 800 pounds. A grand can pass 1,000.

But weight isn't really the problem, the problem is that all of it sits on three legs and a cast-iron plate, and a piano tipped the wrong way puts that load somewhere it was never designed to go. Grands travel on their side on a padded skid board, legs and pedal lyre off.

And here's the part people don't expect: get it tuned after the move, not before, and wait a few weeks. A piano has to settle into the humidity of the new room before a tuning will hold. Tune it the first week and you'll be paying for it twice.

The art:๐Ÿ–ผ๏ธ
Never let bubble wrap touch the face of a painting, it can imprint on the varnish, and that damage doesn't come out. Glassine or acid-free paper goes on first, always. Framed glass gets taped or a face board so a crack doesn't travel into the piece.

Anything large or valuable gets a built crate, not a carton.

The antiques: ๐Ÿฝ๏ธ
Don't refinish anything before a move; fresh finish is soft finish. And marble tops travel standing on edge, never flat. Flat is exactly how marble cracks under its own weight.

The paperwork that protects all three: ๐Ÿ—“
Federal rules let any mover limit its liability on articles of "extraordinary value", anything worth more than $100 per pound, which covers jewelry, china, furs, and a lot of art.

But if you specifically list those items on the shipping documents, your mover is responsible for delivering them safely. That form is not busywork. Fill it out.

Not a conversation about feelings. A job.

Let them mark their own boxes. A sticker, a color, a drawing, whatever they pick. A kid who can't read yet can still find their own things at the other end, and they will look for them the first night.

Don't thin out their stuff while you pack. We know the temptation. A move is the worst possible time to decide which toys survive. Move the bin, argue about it in October.

One backpack that never touches the truck. Pajamas, toothbrush, chargers, snacks, and the animal that is not optional. They carry it. That's the job.

Get them out of the house on load day if you can. Doors propped open, dollies moving, furniture on the stairs, it's a working site for six hours. A grandparent or a friend's house for the day makes everybody's day better, yours included.

Set up their bed first at the new place. Before the kitchen, before the TV. A finished room beats a finished house on night one.

Give them one decision that's actually theirs. Paint color, which bedroom, where the bed goes. Kids take a move a lot better when some part of it was their call.

Tell them the date early, and say it more than once. Not knowing is harder on a kid than knowing.

One thing that catches local families off guard: Escondido to San Marcos is twenty minutes on the map and a brand-new school, new bus, new lunch table. Same county, whole new world to a fourth grader.

Don't let the short drive talk you out of planning it properly.

When the crew shows up, nothing moves for the first fifteen minutes. That's on purpose. ๐Ÿก

Here's what's happening while you're wondering why nobody has picked up a box yet.

The walkthrough. Every room, plus the closets, garage, attic, and shed, the four places things hide. This is also when you say what's not going. That sentence saves more trouble than any other on moving day.

The path gets decided before anything travels it. Where the truck parks, which door, which stairs, whether there's a low branch or a tight turn or an elevator that has to be reserved. Figuring that out with a dresser in your arms is how floors get gouged.

The house gets dressed. Runners down the traffic path, pads on the door jambs, the banister wrapped. Your walls take more damage on moving day than your furniture does.

The disassembly list. What has to come apart to get out, bed frames, table legs, anything wider than the doorway. Better to know at 8 a.m. than to find out at the top of the stairs.

Mattresses, mirrors, and TVs get their own cartons. Not blankets. Cartons.

And it's when you should ask your questions. A question at 8 a.m. is free. The same question at 2 p.m., with the truck half loaded, costs everybody time.
Fifteen quiet minutes at the start is what a smooth day looks like from the inside.

The trick is simple: pack for the day you unpack, not the day you load.

Label with the room it's going to, not the room it came from. Your old office is somebody else's house now. Write the new room on the box and the crew puts it there the first time.

Write on the sides, not the top. Boxes get stacked. A label on the lid is a label nobody can read.

50 pounds is the ceiling.

If you can't carry it across a room comfortably, it's too heavy, and heavy boxes are the ones that split.

Books and canned goods go in small boxes.
Pillows and lampshades go in big ones.
Weight down low, bulk up high.
Most people do this exactly backwards.

Plates stand on edge, like records in a crate.
Stacked flat, they crack under their own weight. On edge, they don't.

Fill every gap. A half-empty box collapses when something is set on it. An overstuffed one splits at the seam. You want it full and flat on top.

Tape the bottom like you tape the top. Three strips, center seam and both edges. The bottom is where boxes fail.

Bag the hardware and tape it to the furniture it came off of. Every bolt, in a bag, on the piece. This is the single tip people thank us for later.

And the things nobody can load: propane, gasoline, paint, aerosols, charcoal, ammunition, nail polish remover. Federal rules keep those off the truck. Use them up or hand them off before moving day.

You'll do the packing once. You'll live with how you did it for a month.

Peak moving season is winding down. That's good news if you haven't booked yet. ๐Ÿ“ฆ

Summer is when everyone moves, school calendars, lease ends, and closing dates all stack into the same twelve weeks. From here forward, the calendar opens up.

What that actually gets you:

Your first-choice date instead of your third. In peak weeks, the last Friday and Saturday of the month go first, that's when leases turn over.

A mid-month, midweek slot, which is the cheapest square on any mover's calendar, any time of year.

More time on the front end. A real walkthrough and a written estimate without anyone rushing you through it.

Shorter delivery windows on long distance, because there's less freight competing for space on the truck.

If your move isn't urgent, this is the stretch to use. If it is urgent, this is the stretch where "urgent" is actually possible.

Your dog doesn't know you're moving. He knows strangers are taking the couch.

Pets read moving day as a home invasion, and that's when they bolt. The front door is propped open for six straight hours, that's the real risk, not the truck.

What works:

Pick one room, put the pet in it, tape a sign on the door: DO NOT OPEN.
Crew included. Tell us at the walkthrough and we'll save that room for last.

Better yet, board them or send them to a friend's for the day. One day of boarding costs less than the reward posters.

Update the microchip registry with your new address before you move, not after. That's the number somebody calls when they find your dog.

New tag on the collar with your cell number, not the old landline.

Food, bowls, medication, and litter ride in the car with you. Not on the truck.

At the new house, set up one closed room first and let them come out on their own schedule.

Cats especially. Give a cat a full week before you start worrying about how they're adjusting.

So where does everything live for eight days?

This gap is one of the most common reasons people call us about storage, and it's almost never in the original plan. It shows up when a closing date moves.

How it actually works:

Your things are loaded once, stored, and delivered once, not loaded, unloaded into a unit, then reloaded.

Everything is inventoried before it goes in, so you know what's in there without opening a box. You're not renting a truck twice or paying for a self-storage unit you have to drive to.

It works for eight days or for eight months. The gap doesn't have to be short to be worth it.

If your two dates don't line up, that's normal. Tell us both and we'll plan around them.
