Dear Families and Participants,
As we approach the colder months and the unpredictable weather that comes with them, we want to ensure that everyone involved in our Day Program Services stays informed and safe. This newsletter will provide key information on how we handle inclement weather, what steps to take in the event of a weather-related disruption, and how you can stay updated with the latest changes.
1. Inclement Weather Protocols
Our priority is the safety and well-being of all participants and staff. In the event of inclement weather (snow, ice, severe rain, etc.), we follow a specific set of protocols to assess the conditions and make informed decisions about any schedule changes or cancellations.
- Decisions on cancellations or delays are typically made by 8:00 AM on the day of service.
- We will notify families via phone calls, text messages, and Facebook as soon as a decision has been made.
- Weather-related closures will also be posted on our social media pages, where you can always find the latest updates.
2. Safety Considerations
When inclement weather affects road conditions, we take the following precautions:
- Staff and participant transportation: If our transportation services are impacted by weather, we may adjust pick-up times or suspend service for the day. We will notify you promptly if this happens.
- Program modifications: If participants are able to attend the program but the weather limits outdoor activities, we will transition to indoor-based activities that are equally engaging and safe.
Please ensure that your emergency contact information is up-to-date in case we need to reach you during adverse weather conditions.
3. What You Can Do
Monitor your communication channels: Be sure to check your phone, email, and text messages regularly for any updates regarding program operations.
Plan ahead for weather-related adjustments: If we are open, but weather conditions are poor, please allow extra time for travel. For your safety, consider delays or detours on the way to the facility.
4. Helpful Tips for Participants
- Dress in layers: Weather conditions can change quickly. Please send your participant with warm clothing, including hats, gloves, and waterproof outerwear.
- Stay hydrated: Even in cold weather, itβs important to stay hydrated, so make sure your participant has access to water throughout the day.
