SUMMARY DESCRIPTION:

Coordinate the activities of the Boat Maintenance Department and ensure planning/scheduling objectives are met by performing the following duties:

ESSENTIAL JOB FUNCTIONS:
• Work closely with boat maintenance department management and appropriate members of other departments to ensure that repair and maintenance priorities are understood and properly assigned.
• Use all appropriate means of communication to function as the primary point of contact for all boat maintenance and repair-related concerns and activities.
• Conduct all necessary intra- and inter-departmental communication to ensure that all relevant persons are updated on maintenance and repair activities. Report on daily maintenance & repair status, stay in touch with all department staff for updates; represent the boat maintenance department in the morning meetin
• Monitor locations and activities of boats that need attention and dispatch/schedule the appropriate Port Engineer and/or vendor to handle the assigned task.
• Monitor the renewal and annual inspection dates of boats with US Coast Guard and/or ABS certificates. Notify other departments and schedule the appropriate renewal and annual inspection.
• Dispatch the appropriate staff to facilitate the inspection.
• Ensure that port engineers and vendors submit a follow-up report for all work done. Create and track work and purchase orders for repair, maintenance, audit,, and inspection tasks.
• Coordinate with port engineers to ensure information is accurate and up to date.
• Review boat maintenance records and ensure that all regular maintenance of boats is performed as prescribed. Coordinate daily updates to open items in the database. i.e.: add information to the “requires repairs/needs attention” record or update after completion.
• Utilize computer applications, including Microsoft Word, Excel, Outlook, and SAP, to manage and track all maintenance activities.
• Assume other duties and assist department management with other tasks, as directed.

QUALIFICATIONS
• Must be able to read, write, and speak clearly in the English language.
• High School diploma or GED required; College preferred.
• Two (2) or more years of Clerical experience required.
• Proficiency in a variety of computer software applications, including but not limited to Microsoft Word, Excel, and Outlook software. Experience with operating software, such as SAP, is also desired.
• High level of interpersonal skills to handle sensitive and confidential situations and documentation.
• Knowledge of office administration procedures.
• Ability to operate most standard office equipment.
• Attention to detail in composing, typing, and proofing materials, establishing priorities, and meeting deadlines.
• Proficient spelling, grammar, and written communication skills.
• Excellent telephone and oral communication skills.
• Ability to maintain a high level of confidentiality.

SUMMARY DESCRIPTION:
To ensure the most cost-effective and timely way to provide the vessels with groceries, fuel, and supplies.

ESSENTIAL JOB FUNCTIONS:
• Track fuel costs on a daily basis.
• Communicate with all vessels on a daily basis regarding their location, fuel consumption, and
destination to make sure that deliveries are taken at the optimum times.
• Coordinate the delivery of supplies to vessels directly.
• Research and obtain quotes to ensure the most cost-efficient and highest quality supplies for vessels.
• Communicate directly with the fuel vendors to inform them of future deliveries of fuel and what that specific need will be.
• Complete Purchase Orders and review the accuracy of prices and quantities on a daily basis, and maintain organized and updated files.
• Handle and input invoices. Ensure all figures match the Purchase Orders.
• Track all fuel and l**e purchases by gallon on a regular basis.
• Track all purchases for assigned vessels
• Track all internal purchases for both Harahan and Channelview Offices.
• Supply vessels with current supply catalogs so that Captains stay informed of current prices to control their individual budgets.
• Prepare presentation for the annual Captain’s Meeting.
• Stock new boats with all supplies needed for start-up.
• Assist the Purchasing Manager with the yearly budget for fuel and supplies.
• Perform other related duties as required and assigned by the Purchasing Manager, Vice President of Purchasing, and/or the President of the Company.
• Requires being on call 24 hours a day, seven days a week.
• Operate a forklift and perform safety checks.
• Perform inventory checks; reordering, receiving, and storing supplies.
• Responsible for warehouse maintenance.

QUALIFICATIONS
• Must be able to read, write, and speak clearly in the English language.
• High school diploma or general education degree (GED); one to three years related experience and/or training preferred.
• Knowledge of the marine industry is a plus.
• Proficiency in or knowledge of a variety of computer software applications, including but not limited to Excel and Microsoft Word software.
• High level of interpersonal skills to handle sensitive and confidential situations and documentation.
• Knowledge of office administration procedures.
• Ability to operate most standard office equipment.
• Attention to detail in composing, typing, and proofing materials, establishing priorities, and meeting deadlines.
• Must possess or be able to obtain a TWIC card.
• Must maintain a clear driving record and be insurable through our automobile insurance carrier.
