Administrative Assistant

Job description:

We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing the company’s general administrative activities.

Job responsibilities:

• Provides administrative support to assigned team members, which includes scheduling, meeting coordination, shipment bookings, quotation preparation, shipment follow-ups, notices, data entry, and other general administrative tasks.

• Prepares a variety of documents (e.g. quotations, booking confirmations, correspondence, agendas, minutes, freight & brokerage reports, etc.) to communicate information and/or create documentation in paper and/or electronic format.

• Maintains up-to-date records, which includes files, contacts lists, and database entries

• Act as the point of contact for internal and external clients.

Requirements:

• Proficient in Microsoft Office Suite

• Excellent communication; oral and written

• Multi-tasking and detail-oriented organizational skills required

• Can adapt and work in an extremely fast-paced environment

• Willingness to accommodate requests for support outside of regular business hours on occasion, with appropriate notice.
