Two packing lists for the same shipment. Only one of them clears.

The officer at the other end is not reading your invoice, they are matching your packing list against the box in front of them. Handicraft, 20 boxes tells them nothing. Carved wooden panel, 100 pcs, 5 per box tells them everything. Give gross and net weight for every box, not one total for the shipment, and put the length, width and height of each box on the list too. If the paper and the box do not line up, your cargo waits until they do.

One number decides what your shipment costs. Here is how to work it out.

It is your cubic meters, CBM, and it is simply the space your cargo takes up. Length times width times height, all three sides in meters. So a box that is sixty by forty by fifty centimeters becomes 0.6 x 0.4 x 0.5, which is 0.12 cubic meters. Ten of those boxes come to 1.2. And the part that quietly costs people money: measure the finished crate, not the product inside it. Packaging is space too, and space is what you pay for.

You sign it in ten seconds. It decides the next ten weeks.

The delivery note is not paperwork for the driver, it is the record of what arrived, in what condition, and when. Count the packages yourself, because the note lists colli and not pallets. Write any damage on the paper before you sign, because a photo sent afterwards is far harder to claim on. And check that the consignee name, address and date match your order exactly. Check it first, sign it second.

Some cargo does not fit in a container, and that changes everything.

Generators, machinery, prefabricated structures and site equipment are measured, permitted and routed one piece at a time. We survey the piece first, weigh it, and check the route for bridges, turns and height limits before anything is quoted. Then the lift, with the right rigging and lashing calculated for the actual weight. Then the oversize permits, port handling and es**rt, arranged so the load is never sitting still waiting on a document.

Three shipping terms people get wrong, and what they quietly cost you.

Chargeable weight is not the number on your scale. Air freight charges whichever is higher, actual weight or volume, so a light bulky box is priced by the space it takes. The consignee is not always the buyer, it is whoever receives the cargo, and naming the wrong party means the wrong person can clear your goods. And ETD and ETA are estimates, not promises, because vessels wait for weather, berths and customs.

Measure the packed cargo in meters and multiply length by width by height, because that CBM decides your price. Three documents move your cargo and every number has to match across all of them. Book before the cut off, which closes two to three days before the vessel sails. Declare the real value, because insurance only pays out what you wrote down. And pack for the journey, not the shelf, since your cargo gets lifted and stacked a dozen times before it arrives.
