How often does your company review its ELD logs?

If the answer is “once a month,” you may be waiting too long.

Your truck can leave the repair shop fixed.

And still arrive at an audit with a broken paper trail.

When a driver reports a defect, completing the repair is only half the job. Your records should also show what was repaired and connect that work to the correct truck and trip inspection report.

A valid CVIP, registration, and insurance do not replace a complete maintenance record.

During an Alberta NSC audit, vehicle documentation may include:

Your drivers may be ready for the road.

But are their files ready for an auditor?

A resume and licence copy can make a driver file look complete. An Alberta NSC auditor may see something very different.

Depending on the driver and operation, required records can include:

• Employment application and three-year history
• Current licence and proper endorsements
• Abstract obtained at hiring and updated annually

• Training and qualification records
• Convictions, incidents, and collision records

There is also a newer requirement to consider: since June 2026, qualifying Alberta cargo carriers must comply with standardized Class 1 driver-experience record requirements.

Cross-border trucking requires the correct customs documents to be submitted before the driver reaches the border.

The process normally includes preparing the Bill of Lading, Commercial Invoice and the correct PAPS or PARS label.
The documents are then sent to a customs broker. After the shipment is cleared, the entry number is used to complete the eManifest.
The completed information should be sent to the driver before arrival.

FMCSA has moved its registration services to Motus, the new USDOT Registration System.

If your company already has a USDOT Number, you should not submit an application for a new number. Your Company Official should claim the company’s existing record in Motus.

To get started:
• Use the same Login(dot)gov email previously associated with the FMCSA Portal
• Claim the existing USDOT Number
• Review the company information
• Correct anything that has changed
• Certify the information

Common problems include using the wrong email, not knowing who is listed as the Company Official and waiting until an important filing or update is required.
