অস্ট্রেলিয়ায় প্রফেসরদের ইমেইল করার সর্বোত্তম সময় ও দিন:
ইমেইল পাঠানোর সঠিক সময়:
• সকালে (৮–৯ টা): অনেক অধ্যাপক দিনের শুরুতেই ইমেইল চেক করেন।
• দুপুরে (১২–২ টা): বিরতির সময় হওয়ায় এই সময়টি ইমেইল পাঠানোর জন্য উপযুক্ত।
• বিকেলে (৪–৬ টা): দিন শেষ করার আগে অধ্যাপকরা সাধারণত আবার ইমেইল চেক করেন, এবং এ সময় ইনবক্সে ইমেইল কম থাকে।
নোট: আপনি যে দেশ থেকে ইমেইল করবেন, সেই দেশের সঙ্গে অস্ট্রেলিয়ার সময়ের পার্থক্য কত তা অবশ্যই হিসাব করতে হবে। তারপর অস্ট্রেলিয়ার উপযুক্ত সময় অনুযায়ী ইমেইল পাঠাতে হবে।
সেরা দিন (সপ্তাহের মাঝামাঝি)
মঙ্গলবার, বুধবার এবং বৃহস্পতিবার — এই দিনগুলোতে ইমেইলের দ্রুত উত্তর পাওয়ার সম্ভাবনা সবচেয়ে বেশি।
নোট: আমি নিজে এটি study করে বের করেছি, আপনারটার সঙ্গে কিছুটা অমিল থাকতেই পারে।

আপনি যেসব বিশ্ববিদ্যালয় ও প্রফেসরের সঙ্গে সুপারভিশনের জন্য যোগাযোগ করেছেন, সেগুলো ট্র্যাক করার জন্য একটি এক্সেল স্প্রেডশিট তৈরি করবেন। এটি আপনাকে সংগঠিত থাকতে এবং পেশাদারভাবে ফলো-আপ করতে সাহায্য করবে।

Times to avoid
• রাতে দেরি করে বা গভীর রাতে ইমেইল পাঠানো ঠিক নয়, কারণ এই সময়ে প্রফেসররা সাধারণত ইমেইল দেখেন না।
• সপ্তাহান্ত এবং সরকারি ছুটির দিনগুলোতে ইমেইল পাঠানো ভালো নয়, কারণ এসব দিন তাদের ব্যক্তিগত সময় হিসেবে ধরা হয়।
• ক্লাস বা মিটিং চলার সময় ইমেইল না পাঠানোই ভালো, কারণ তখন তারা শিক্ষাদান বা প্রশাসনিক কাজে ব্যস্ত থাকেন।
Additional tips
• ইমেইল পাঠানোর আগে অবশ্যই প্রফেসরের দেশের সময় অঞ্চল বা টাইম জোন যাচাই করুন, বিশেষ করে তিনি যদি আপনার দেশের বাইরে থাকেন।
• পেশাদারিত্ব বজায় রাখুন। ব্যাকরণ, স্পষ্টতা এবং টোন ঠিক আছে কি না তা ভালোভাবে দেখে নিন।
• ইমেইল যতটা সম্ভব সংক্ষিপ্ত এবং পরিষ্কারভাবে লিখুন, যাতে প্রফেসরের জন্য উত্তর দেওয়া সহজ হয়।
• ধৈর্য রাখুন। ভদ্রভাবে ফলো-আপ করার আগে কয়েকটি কর্মদিবস অপেক্ষা করা উচিত।
Recommended times to send emails:
• Early morning (8–9 AM): Professors often check emails first thing in the morning.
• Midday (12–2 PM): A good window when they may be on a break.
• Late afternoon (4–6 PM): Many check their inbox again before finishing the day, and email volume is usually lower.
Note: You must calculate the time difference between your country and Australia before sending an email. After that, make sure to send your email according to the appropriate Australian time.
Best days (mid-week):
, Wednesday, and Thursday — these are generally the most effective days for getting a timely response.
Email tracking spreadsheet contents
I structured an Excel spreadsheet to keep track of the universities and professors I’m contacting for supervision. This helps me stay organised and follow up professionally.
• University name
• Department/School
• Professor’s name
• Research area
• Email address
• Date email was sent
• Whether a follow-up is needed
• Follow-up date
• Whether I received a reply
• Reply date
• Outcome of the communication.
Times to avoid
• Late evenings and overnight: Professors are unlikely to respond during this time.
• Weekends and public holidays: Considered personal time.
• During class or meetings: Avoid emailing when they are likely busy with teaching or administrative duties.
Additional tips
• Check the time zone: Especially if the professor is outside your region.
• Be professional: Proofread for grammar, clarity, and tone.
• Keep emails concise: Clear and to-the-point messages are easier to respond to.
• Be patient: Allow a few business days for a reply before sending a polite follow-up.
