A call we get every fall: a coach asks for 30 seats to Madrid, we check availability, and there is no group space. So he opens the website. Plenty of seats. Forty of them. Same flight.

He thinks we got it wrong. We didn't. He's looking at two different inventories.

The seats you see online are spread across fare buckets. The cheapest bucket might hold 6 seats. The next one holds 10, at a higher fare. Buy 30 tickets one by one and you drain bucket after bucket, and the price climbs with every batch. First seats at $780. The middle of the group in the $900s. The last few over $1,100. Average it out and those "available seats online" often cost more than the group quote, and now you own 30 separate tickets with 30 locked names and zero flexibility.

Group space is its own allocation: one fare for everyone, one contract, names due later. Sometimes there is no group space while the website shows seats. That's not a mistake. That's the airline protecting revenue, and it's exactly the moment a team needs someone who checks that availability every day.

After 20+ years, we've walked coaches through this math more times than we can count. The cheap seats on the screen are rarely cheap thirty times in a row.

One question tells us right away that a coach has been burned before: "What happens if my roster changes?"

Buy 25 individual tickets in March for a June trip and every name is locked at purchase. A player gets hurt. A late tryout changes the lineup. On individual tickets that usually means change fees, or a brand new ticket at whatever the fare is that day.

Group contracts work differently, and most coaches don't learn this until after the expensive lesson. On many group contracts:

1. You hold seats first, with no names attached. The airline wants a count, not a roster.

2. Names typically aren't due until 30 to 45 days before departure. Your booking can be months ahead of your final roster.

3. Even after names go in, many contracts allow substitutions up until a few days before the flight. Sometimes free, sometimes a small fee. The seat stays. The person in it can change.

After more than 20 years of moving teams, this is still the part we most enjoy explaining, because it changes how clubs plan. You can lock in a spring tour in the fall, before tryouts have even happened.

Book the seats when the price is right. Add the names when the roster is real.

The question we hear most from coaches: "How can we commit to 30 airline seats before our fundraiser even starts?"

Here is the part of group travel nobody explains: you typically don't pay for those seats up front.

Buy a regular ticket and you pay the full fare the moment you click. Group contracts usually run on a different clock:

1. Many of our partner airlines will hold 30, 50, even 150 seats for a small per-seat deposit.

2. Names are not due yet. The space is locked months before the final roster exists.

3. The balance is due at ticketing, typically 30 to 60 days before departure. By then tryouts are done and the fundraising has come in.

Seats secured in month one. Money moving in the final stretch. For a booster club, that gap is the whole ballgame.

We have seen this one piece of knowledge change how entire programs plan their season.

Here is the conversation we have every August: a coach calls about a spring trip abroad and figures six months out is plenty. For a group of 30 players with gear, it is already getting tight.

Group space does not work like individual tickets. Airlines release it in blocks, and the best blocks on popular spring routes are claimed in the fall. Clubs that start planning after the holidays pay more and fly worse routings. We see it every year.

Our advice to US clubs planning spring international trips: fall is not early. Fall is on time. You do not need a final roster to hold group space. Dates and a rough headcount are enough to start, and holding seats now costs far less than waiting.

After more than 20 years of moving teams, this is the single piece of advice that saves clubs the most money.

You know it's August at BGA when the coach who ghosted you in June sends the roster at 10 PM on a Tuesday.

By Wednesday morning it's grown by six players.
By Thursday, one of them "actually can't go anymore, is that okay?"
By Friday, three more want in.
By Sunday the flight is oversold.
By Monday we're on the phone with the airline making it work.

The Monday after that? They're in Amsterdam.

I don't know how anyone gets through August in this business without a sense of humor.

Something small happened this week that I keep thinking about.

A parent called the office direct — not the coach, the parent. Her son's team was flying out Sunday. She'd realized his passport expired in five months and he wasn't allowed on the flight without a 6-month buffer.

She was in tears.

Our team walked her through the expedited passport process, held her seat, and got her son on a flight two days later after the passport came through.

That's not a service line on our website. But it's what we do.
